Booking Conditions

PLEASE NOTE WE ARE NOW NOT ACCEPTING ANY BOOKINGS FOR FAIR GROUND TYPE STALLS,
OR SWEETS OR FOOD/COFFEE STALLS.

After the success of previous years, we are holding another Celebrate Chessington Fun Day and would very much like you to join us. The outdoor event takes place on Churchfields in Chessington. The event is designed to bring residents together to promote a community spirit, and it is a fun way of getting local information out to residents. The day includes various forms of entertainment put on by local groups and organisations, including demonstrations, dancing, face painting, fairground rides, tombola, raffle, refreshments and a great BBQ. Everyone is welcome to attend the event, and we hope to encourage a diverse selection of groups, organisations and service providers.

Stalls and ring-side attractions form a major part of the event, and we try to keep them as mixed and varied as possible. Offering a fun activity also encourages people to stop at your stall. Please note, we are not inviting applications for stalls/vans selling food, coffee or alcohol.

This applies to all stallholders, charity stalls, performers, entertainers, face painters, information stands, council run stalls, charity stalls, musicians and our own organiser stalls. This is to keep administration in order and to a minimum for our volunteer committee.

Please note this is a token only event. Residents exchange cash for tokens to be used on all stalls and attractions and these tokens are exchanged back to cash – only for stalls this applies to. Please email info@celebratechessington.co.uk with any questions.

Stalls

  1. There are approximately 50 pitches available and booking is essential. All pitches are exactly 4 metres wide and approximately 4 meters deep. Multiple adjacent pitches may be booked by one stallholder organisation.
  2. To book a pitch, please complete the questions below. Please provide a description of what activities your stall will be providing on the day or your entertainment/performance and, where possible, any social media links or photos. This allows us to either group complementary stalls together or avoid having identical activities/directly next to each other.
  3. Stalls may not offer hot or cold food to be consumed at the event or take home (including ice-cream) since the organiser manages the main BBQ, Tea/Coffee, cakes, sweets, cold drinks and ice-cream.
  4. The event has a funfair located at one side of the event field. This generates noise but also higher footfall. If you have a preference whether you would or would not like to have your stall at this side of the field, please indicate this on the booking form.
  5. Setting up of stalls in Churchfields recreation park can arrive via the Compton Crescent entrance, (Chessington, KT9 2HG) and must be set up and be ready by 11:45am, including removing vehicles to the main car park. Parking is available on both sides of the event field. The Royal British Legion car park (near the St Mary’s entrance) can also be used.
  6. The event is open from 12noon to 4pm. There can be no moving of vehicles on the main field after 11.45am except for the organisers and RBK rangersโ€™ vehicles.
  7. Packing up of stalls cannot begin until 4.00pm. No vehicles are allowed back onto the field before 4pm.
  8. To ensure we can meet everyoneโ€™s requirements the completed booking form must be completed by 5.00pm on Wednesday 21st May 2025. No bookings will be taken after this date.

Health and Safety, Insurance requirements and
Other Important Information

In submitting the booking form, you confirm that you will conform to all health and safety, licensing and environmental regulations. Please be aware of this when booking.

  1. You must provide a copy of your insurance policy showing that you carry the required minimum ยฃ5million public liability insurance when booking. The insurance certificate provided must be valid for the date of our event.
  2. Where public liability insurance is provided as part of an employerโ€™s liability policy, the full company policy schedule should be sent, showing the name of the organisation, the dates of cover and the amount of public liability insurance cover. The employerโ€™s liability insurance certificate is not sufficient on its own.
  3. The insurance cover is a requirement of Royal Borough of Kingston Council who operate Churchfields, the event site. We will not be able to allow you to participate unless you carry sufficient cover. No refund will be paid if we have to cancel your pitch for this reason.

Booking fee / Charges for 2026

Your booking fee must be paid in full when you book. Bookings will not be accepted, and your attendance cannot be guaranteed until the correct booking fee has been paid in full, and you have confirmed that you will comply with the health and safety, insurance requirements and this form is completed in full.

Stallholder charges

  • Charity and community organisations – ยฃ20 plus 10% of takings
  • Commercial organisations – ยฃ40 plus 20% of takings
  • Information stalls – Free of charge

Please add your name or stall name to the reference to ensure no delay in processing your application.

Please note

  1. We do not permit the sale or giving away of live animals/fish under any circumstances.
  2. No stall can sell hot or cold food and drink (including ice-cream) intended for consumption at the event or take home as the organisers run all hot/cold food outlets. If you have any doubts what may be offered, please contact us.
  3. You will be allocated a bare pitch space only. You must bring and erect/takedown your own gazebo, table, chairs and power if needed.
  4. You are responsible for clearing up/taking away your own rubbish, bins are provided.

By providing your data to us, you are consenting to us making contact with you now for the 2026 event and in the future for future events by email, text, whatsapp. Should you wish to opt out after the 2026 event please contact us.

Terms & conditions

  1. Stallholders are allowed vehicular access to their stall area to unload from 10.30am to 11.45am. All vehicles must be removed from the area by 11:45am.
  2. Stallholders’ vehicles cannot be re-admitted to their stall area for loading until after 4pm.
  3. Stalls must be set up and ready by 11.45am and staffed throughout the day until 4pm. Stallholders are not permitted to close down or pack up during the event open hours (12noon – 4pm).
  4. Stallholders must ensure that gazebos and tables are checked, that they are fully erected and legs fully extended, and that they are on level ground and not overloaded.
  5. Stallholders are responsible for ensuring that all equipment (e.g. gazebos and signs) are adequately secured to prevent items from being blown around.
  6. Stallholders will be responsible for ensuring compliance with all relevant Health and Safety regulations in connection with the management and operation of their stall.
  7. Stallholders are to manage any rubbish produced from their stall and/or activities during the event in such a way that it is not hazardous to the general public or other stallholders. Stallholders must keep their stall and surrounding area clean and tidy, and must bag and tie their rubbish at the end of the day.
  8. Stallholders are to ensure that they manage their stall and surrounding area during the event in such a way that it is not hazardous to the general public or other stallholders, especially trip hazards.
  9. The Celebrate Chessington Committee shall not be responsible for any loss of or damage to vehicles, stock, merchandise or personal property or for injury to any person caused by the day’s activities, the weather or any other reason or cause. Money and valuables should be kept out of sight and secured.
  10. Stallholders agree to only take money in the form of Fun Day tokens (redeemable at a value of one voucher = ยฃ1.00). Vouchers must be handed to the Celebrate Chessington Committee Treasurer at the end of the Fun Day, and a transfer of funds will be made soon afterwards, subject to a confirmation of the number of vouchers collected. Please ensure you add your bank details to the booking form.
  11. Refreshments can be purchased from the Food Area. Toilets are available in the St Maryโ€™s Centre and on the field.
